Terms and Conditions

1. Who we are

These terms apply to every booking made with Royal Executive Taxis ("we", "us", "our"). We are a private hire operator licensed by Transport for London (TfL). Contact: bookings@royalexecutivetaxis.com. Telephone: +44 (0) 20 8191 3740.

"You" means the person making the booking. If you book for other passengers, you confirm you have their agreement to these terms and that you are responsible for their compliance.

2. Bookings

2.1 A booking made through our website, by email or by telephone is a request. It becomes a confirmed booking only when we approve it and tell you. We may accept or reject any request.
2.2 When you pay online, we place a hold on your card or PayPal account for the fare. The money is not taken until we approve your booking. If we reject or cannot accept your booking, the hold is released and you are not charged. How quickly a released hold disappears from your statement depends on your bank or PayPal.
2.3 You must give accurate details: names, contact number, pickup and drop-off addresses, date and time, number of passengers, and for airport pickups the flight number. We are not responsible for problems caused by incorrect or incomplete details.
2.4 Quotes we give for journeys without a listed price are valid for 48 hours from the time we send them.

3. Prices and payment

3.1 Fares shown or quoted are fixed for the journey described. The fixed fare includes the costs of the journey, including tolls, congestion charges and airport fees, which are built into the price, including on quotes for custom journeys.
3.2 A change to the route, extra stops or a changed pickup or drop-off point may change the price. We will agree any change with you before the journey.
3.3 Waiting time (section 6) and other charges set out in these terms are extra to the fixed fare.
3.4 Payment is taken by card or PayPal through our payment providers, Stripe and PayPal. We do not see or store your full card details.

4. Changes by you

4.1 You may change the date or time of a confirmed booking free of charge as long as both the original pickup time and the new pickup time are more than 24 hours away when you ask. A change that falls within 24 hours is treated under the cancellation charges in our Cancellation and Refund Policy (section 5 below), and is subject to availability.
4.2 A change to the pickup or drop-off location may change the fare, depending on how much the route changes. We will tell you the new fare and you must agree to it before the change takes effect.
4.3 We will try to accommodate every change, but a change is confirmed only when we tell you.

5. Cancellation, no-shows and refunds

The full details are in our Cancellation and Refund Policy, which forms part of these terms. In summary:
- Cancel more than 24 hours before pickup: no charge.
- Cancel between 24 and 12 hours before pickup: 50% of the fare.
- Cancel within 12 hours of pickup: 100% of the fare.
- No-show: 100% of the fare.
- If we cancel for any reason, or the airline cancels or heavily delays your flight, you are not charged (see the Cancellation and Refund Policy).

6. On the day

6.1 Airport pickups: we track your flight. We include 30 minutes of waiting from the requested pickup time. After that, waiting time is charged at £7 for each 15 minutes (or part of 15 minutes).
6.2 Other pickups: waiting time may be charged from the scheduled pickup time at £7 for each 15 minutes (or part of 15 minutes).
6.3 If we cannot reach you or you do not arrive, section 5 (no-show) applies after we have made reasonable attempts to contact you.
6.4 Flight delays: if your flight is heavily delayed or moved, we will reschedule your pickup to when the flight arrives, or to the next day if needed, at no extra charge, and keep monitoring the flight.

7. Vehicles, passengers and luggage

7.1 We provide vehicles that seat 4 or 7 passengers. Please tell us your passenger and luggage numbers when booking. If you are unsure whether your luggage will fit, ask us before you travel.
7.2 If we make a mistake with the vehicle we assign, we will fix it, including by providing a larger vehicle if necessary.
7.3 If you bring more luggage than the vehicle you booked can carry (above what we advertise for it), that is your responsibility, and you may need a larger vehicle at an extra cost.
7.4 Seat belts must be worn where the law requires it. Child seats are available on request with notice. Please ask when you book.
7.5 Animals: pets are carried only on request and with our agreement in advance. Assistance dogs are always welcome. We may charge a cleaning fee if a vehicle needs cleaning after your journey.
7.6 Smoking and vaping are not allowed in our vehicles.

8. Lost property

Items left in our vehicles are kept safely. We can post them to you, and you pay the postage, or we hold them until they can be collected or returned. We keep an item for 30 days. If nobody has contacted us about it by then, we may dispose of it or donate it.

9. Our responsibility

9.1 We hold insurance for hire and reward and public liability in line with TfL requirements.
9.2 We take reasonable care to collect you on time and get you to your destination safely. We cannot guarantee journey times, which depend on traffic, road conditions, weather and other things outside our control.
9.3 Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that the law does not allow us to limit.
9.4 Subject to 9.3, we are not liable for losses that were not reasonably foreseeable, or for loss of business, profit or opportunity.

10. Complaints

If something goes wrong, please email bookings@royalexecutivetaxis.com. We will reply within 5 working days.

11. Business customers

We offer business contracts on request. Their terms are agreed individually, so please contact us. These terms apply to business customers only where no separate contract has been agreed.

12. Your information

How we use your information is set out in our Privacy Policy. We may record calls for our own monitoring and to keep a record of the information you give us.

13. General

13.1 We may change these terms. The version that applies to a booking is the one on our website when you make it.
13.2 These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction, but this does not affect any rights you have to bring a claim in another part of the UK where you live.
13.3 If part of these terms cannot be enforced, the rest remains in force.
