1. Who we are
Royal Executive Taxis ("we", "us") is a private hire operator licensed by Transport for London. We are the "controller" of the personal information described in this policy, which means we decide how and why it is used. Contact: bookings@royalexecutivetaxis.com. Telephone: +44 (0) 20 8191 3740.
2. What we collect
- Booking details: your name, email address, telephone number, pickup and drop-off addresses, date and time, number of passengers, flight details, any special requests or notes, and your booking reference.
- Payment details: payments are handled by Stripe and PayPal. We do not see or store your full card number. We keep the fact of payment, the amount and payment reference numbers.
- Communications: emails you send us and, if you call us, a recording of the call (see section 5).
- Website and device information: your IP address, browser and device type, pages visited and how you use our site, collected through cookies and similar tools (see our Cookie Policy).
- Vehicle camera footage: some of our vehicles have dashcams that record the outside of the vehicle (front and rear). They do not record inside the vehicle and they do not record sound.
3. Why we use it, and the legal reasons
- Take and manage your booking, process your payment, contact you about your journey, track your flight: Performing our contract with you
- Send reminders about a booking you started but did not finish (a small number of emails): Our legitimate interest in completing bookings you asked for; you can ask us to stop
- Prevent fraud and misuse; handle complaints and disputes; keep our systems secure: Our legitimate interests
- Keep records our licence and the law require, including tax and accounting: Legal obligation
- Improve our website and measure our advertising (only if you accept the relevant cookies): Your consent
- Record calls for training, monitoring and to keep a record of information you give us: Our legitimate interests
We send booking-related emails only. We do not send marketing emails. If that changes we will ask for your consent first.
4. Who we share it with
We use service providers who handle information on our behalf:
- Wix: our website, booking records and the emails we send
- Stripe and PayPal: payments
- Google: maps and place search, email and workspace tools, analytics, advertising measurement, and the cloud services we use to run our booking administration and keep logs
- A flight-data provider (we send a flight number and date to look up arrival details)
- Our telephone service provider, for calls
- Review services (Trustpilot, Tripadvisor and similar) if you use their review buttons, which are their services
- Our drivers, who receive the details needed for your journey
- Insurers, TfL and the police or other authorities, where the law requires it or where needed for a claim or investigation
We do not sell your information.
5. Call recording
We may record calls for our own monitoring and to keep a record of what was agreed. We keep recordings for between 3 and 6 months.
6. Keeping your information
We keep information only as long as we need it:
- Booking and payment records: we keep these for at least 6 years to meet tax and accounting rules. After that, we remove or anonymise your personal details (your name, contact details and addresses) and keep only anonymised booking information for our own business analysis, for example how busy we are and how well we are running.
- Call recordings: kept for between 3 and 6 months, then deleted.
- Dashcam footage (outside of the vehicle only, no sound): kept until the vehicle's memory card records over it, unless we need to keep a clip for an incident, complaint or insurance claim.
- Website analytics: as set out in our Cookie Policy.
7. Where information goes
Some of our providers (for example Wix, Google, Stripe and PayPal) may process information outside the UK. When they do, they use recognised safeguards that the law requires.
8. Security
We use reputable providers, restricted access to our booking system, and protected connections. No method of sending information over the internet is completely secure, but we take reasonable steps to protect yours.
9. Your rights
You can ask us to: see the information we hold about you; correct it; delete it; restrict or object to how we use it; and receive a copy in a portable form. Email bookings@royalexecutivetaxis.com and we will respond within one month. Some rights are limited where we must keep records by law.
10. Complaints
If you are unhappy with how we handle your information, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk, 0303 123 1113.
11. Changes
We may update this policy. The date at the top shows when it last changed.
